Club Constitution
|
1.0- Identity
|
1.1- The club will be called the Crawley Magic & Tabletop Games Club (also known as Crawley MTG Club & CMTGC)
|
1.2- The club will be based at: Tilgate Community Centre, Shackleton Road, Tilgate, Crawley, West Sussex.
|
|
2.0- Purpose
|
2.1- To provide the opportunity for attendees to participate in a wide range of hobby games, with specific interest being placed upon Magic the Gathering collectable card game and Games Workshop miniature and gaming systems
|
|
3.0- Membership & Assets
|
3.1- Membership of the club is gained by attending more than a quarter of the meetings in a running year. There will be a 3 month probationary period before membership takes place.
|
3.2- The club is open to anybody with an interest in hobby games, especially those games detailed within section 2.0 above.
|
Non-members may make use of the facilities upon payment of the standard meeting rate.
|
3.3- Members, and visiting non-members, must be 12years old or above to attend the club and become members; club officials must be 18years old or above.
|
3.4- Attendees of the club must inform a club official (as detailed in section 4.0, below) of any criminal record related to sexual or violent offences which prevents them by law from participating in activities which may involve minors.
|
3.4- The club is a non profit organisation.
|
3.5- Assets purchased and owned by the club (gaming equipment, cash in hand and cash in the bank) belong to the club’s members.
|
3.6- If the club was ever to close, these assets would be distributed between the current active members.
|
3.7- A record of attendance will be kept in a register book and/ or database.
|
3.8- No member under the of 16years will be left unattended by less than two adults over the age of 18years at any time.
|
|
4.0- Club Officials
|
4.1- There will be three club officials; The Chairman/ Collectable Card Games Representative, the Tresurer/ Secretary and the Tabletop Games Representative.
|
Two of these posts are currently held, the third, that of the TGR, will be decided upon once GCN status has been approved.
|
4.2- A minimum of one club official will be present at each club meeting.
|
4.3- Club officials must be aged at least 18years or above.
|
4.4- Club officials will be responsible for making financial decisions.
|
|
5.0- Club Funds
|
5.1- Club funds will be administrated through the club’s bank account.
|
5.2- There will be three signatories to the club bank account, these will be the club officials as laid out in section 4.0 above. Signatories must be aged at least 18years or above. All club cheques issued must be signed by The Chairman and the Tresurer.
|
5.3- The tresurer will keep a record of transactions on club funds, showing all credits, debits and the current balance. The records will be available for inspection by any club member.
|
5.4- A receipt will be obtained for all club expenditure, checked and retained by the tresurer.
|
5.5- The club year will begin and run from the 1st August to the 31st of July.
|
5.6- Public liabilty insurance and rent will be the highest priority purchases for the club. Sufficient funds will be kept aside for this purpose.
|
5.7- The club’s financial year will begin on the 1st August until the 31st July .
|
|
6.0- Annual Meeting & Decision Making Process
|
6.1- A annual meeting will be held during the last month of each club year (July), to which all members will be welcome to attend.
|
6.2 The annual meeting will be used to lay down the club’s plans and direction for the following year.
|
6.3- Decisions will be agreed by a member majority vote.
|
6.4- Throughout the year, smaller ad-hoc meetings will also be held. The purpose of which is to allow members to comment and keep up to date with the club’s status and progress.
|
|
7.0- Standards of Conduct
|
7.1- Attendance at the club assumes that this code of conduct has been read.
|
|
7.2- Club members and visiting non-members will at all times adhere to the following standards of conduct
|
- There will be no verbal or physical abuse of any other member or visiting non-member
|
- There will be no discrimination of any kind by any member or visiting non-member towards any other person at the club meetings.
|
- This includes, but is not limited to discrimination on the grounds of:-
|
Class; Ethnic origin; Race; Gender; Age; Marital or Sexual status; Mental or Physical ability; Political or Religous belief
|
|
7.3- It is the responsibility of all persons to ensure that they do not endanger the health and safety of themselves or others and that they observe all rules established for the safety of those involved in club activities, as defined by the club officials.
|
|
7.4- Members who do not adhere to the above code may face suspension from the club, as outlined in section 9.0 below.
|
7.5- Criminal activity will not be tolerated by the club.
|
Any member or official found to be acting in, or part-taking of a criminal activity will be reported to the police and subjest to the suspension rules as detailed in section 9.0 below.
|
|
|
8.0- Disagreements between club members
|
8.1- Any disagreements between club members must be referred to a club official.
|
8.2- If the approached official is unabe to resolve the disagreement, or if personally involved in it, the matter will be referred to the remaining club officials.
|
8.3- Disagreements between any of the following must be referred to the Gaming Club Network (GCN):-
|
-Two or more GCN clubs from different areas.
|
-Clubs and the GCN Council
|
8.4- All parties to the disagreement MUST be given reasonable opportunity to state their
|
case.
|
|
9.0- Suspension of Members
|
9.1- Suspension of membership ensures that no situation in the club arises which could cause further concern and that no member is placed in a position which could cause further compromise.
|
Such action may be necessary in the following cases:-
|
- When an allegation is made that a member has committed a serious criminal offence. In this case the member must be suspended until police inquiries and any legal proceedings have been concluded.
|
- When the actions of an individual could seriously harm the reputation of the club and/ or the Gaming Club Network
|
9.2- The suspended member must NOT participate in any activity connected with the club or GCN, and must not wear any related uniform or badges.
|
9.3- Any appointment held by a suspended member will be considered vacant.
|
9.4- Suspension in the case of disagreement must be followed as soon as possible by concilliation and such further steps as are necessary.
|
9.5- When a person’s membership has been suspended, or the nature of the suspension changes, the appropriate official MUST notify the GCN.
|
9.6- Any member who is dismissed has the right os appeal (with the aid of a ‘friend’ if so desired). If so requested by the person dismissed, the official asked for appeal may appoint a committee to hear the appeal.
|
9.7- In every case, membership may be suspended (un-suspended) only by members of the club’s officials.
|
|
10.0- Suspension from the GCN of member clubs
|
10.1- Crawley MTG Club agrees to the right of the GCN Council to suspend the club from the GCN if a situation arises within the club that does not comply with the GCN member charter.
|
The club may re-apply for membership to the GCN once the situation has been resolved.
